Preparing an ingredient or excipient sourcing brief

The same ingredient or excipient name can refer to different chemical forms, grades, physical properties and document requirements. A useful brief states the exact form, intended function, quality requirements and process constraints.

01

Define identity, form and function

State the full identity, chemical form and intended functional role. For salts, gums, stabilisers and excipients, small differences in form or physical properties can matter to formulation and process behaviour.

  • Full ingredient or excipient name
  • Chemical form or grade
  • Functional role and intended use
  • Physical form or handling preference

02

Describe the quality-review context

Identify the target standard, important COA parameters and documents required by the buyer's quality system. Do not assume that similarly named food, nutraceutical or other grades are equivalent.

  • Target standard or reference specification
  • Critical test parameters
  • Document and statement requirements
  • Internal or customer approval needs

03

Plan formulation and production evaluation

Include current dosage range, formulation constraints and the purpose of any sample or trial. Suitability should be assessed within the buyer's own formulation, process and finished-product requirements.

  • Dosage or use level
  • Process conditions and sensitivities
  • Comparison material and baseline
  • Sample quantity and trial objective

A better ingredient brief

  • 01Specify the chemical form and functional role.
  • 02Connect quality parameters to the approval process.
  • 03State formulation and process constraints.
  • 04Define the purpose of samples or trials.

Ingredient-sourcing questions

01Are food and nutraceutical grades with the same name equivalent?+

Not automatically. Standards, manufacturing controls, physical properties and documentation can differ, so the exact requirement must be reviewed.

02Can a sample be discussed before routine supply?+

Include the sample quantity and trial objective in the enquiry. Availability and conditions are confirmed for the selected material and source.

This article provides general information for a sourcing review. Material selection and use remain subject to the buyer's technical, quality, legal and EHS evaluation.
